Join Our Team as an Executive Assistant!

Are you a proactive and organized individual with a knack for managing diverse tasks and handling challenges with grace? If so, we invite you to apply for the Executive Assistant position at Boston Children’s Hospital.

What You’ll Do:
-Be the Go-To Person: Handle incoming issues and requests with professionalism and efficiency, using our Hospital’s systems to address a variety of matters and de-escalate situations when needed.

– Master the Calendar: Manage and balance the Executive’s schedule, making quick adjustments as required to align with Hospital operations and executive priorities.

– Coordinate Seamlessly: Plan and execute all logistical and administrative details for meetings, interviews, seminars, conferences, and special events. Ensure everything runs smoothly and participant expectations are met.

– Communicate Clearly: Prepare and circulate agendas, minutes, presentations, and other materials. Take minutes as needed and make sure all meetings are set up for success.

– Travel Arrangements: Organize external travel plans with precision and care

– Keep Everything in Order: Maintain department records, oversee data entry, and ensure accuracy in reports and information. Recommend and implement improvements in our systems.

– Financial Oversight: Monitor budget reports, reconcile expenses, and assist with preparing complex documents for annual budgets and grants.

– Support Services: Serve as a liaison to request and coordinate needed services, draft communications, and maintain strong business relationships with vendors.

What We’re Looking For:

– Educational Background: Bachelor’s Degree or equivalent experience.
– Experience: 3 years in a fast-paced environment with advanced presentation, interpersonal, and communication skills.

– Analytical Skills: Ability to solve problems using scientific, mathematical, or technical principles.

– Independence & Teamwork: Capable of working independently as well as part of a team, handling multiple activities and confidential matters with discretion.

– Empathy & Adaptability: Provide empathy in challenging situations and adapt quickly to new technologies and systems.

– Project Management: Skilled in prioritizing, overseeing, and managing projects, and working with diverse internal and external stakeholders.
– Preferred: Experience with End Note.
