Position Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership within the Marketing organization. This role is critical to the smooth operation of the team and involves a combination of high-level administrative support, project management, and communication responsibilities. The ideal candidate will be a strong collaborator and communicator, capable of managing competing priorities in a fast-paced, dynamic environment.

Key Responsibilities

  • Provide executive-level calendar management, including scheduling meetings, resolving conflicts, and ensuring preparation materials are in place.
  • Serve as a project manager for key strategic and special projects—tracking milestones, managing timelines, and ensuring accountability across cross-functional teams.
  • Coordinate and oversee relationships with external agencies and vendors, ensuring timely delivery of assets and alignment with project goals.
  • Prepare compelling PowerPoint presentations, reports, and internal communications to support executive briefings, leadership updates, and marketing initiatives.
  • Anticipate the needs of leadership and proactively address issues to support efficient decision-making and execution.
  • Plan and coordinate team meetings, offsites, and events as needed.
  • Support budget tracking and invoice management related to marketing projects and agency partnerships.

Qualifications

  • BA degree or equivalent experience and 3+ years of experience supporting senior leaders.
  • Demonstrated ability to manage complex calendars, shifting priorities, and confidential information with discretion.
  • Strong project management skills with experience in tracking deliverables and holding stakeholders accountable.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite, particularly PowerPoint, Outlook, and Excel; familiarity with project management tools is a plus.
  • Highly organized, detail-oriented, and resourceful, with a strong sense of ownership and follow-through.
