Under minimal supervision, the Administrative Associate III plans, organizes, and provides secretarial and administrative support for a business unit using independent judgment and discretion in planning, prioritizing, and organizing work.
Key Responsibilities:
- Support special projects: compile/analyze data, create charts/spreadsheets, and produce complex reports/documents.
- Prepare, transcribe, format, and proofread technical/scientific correspondence and materials using desktop publishing/graphics tools.
- Answer/screen calls; greet visitors; provide routine information; draft and route correspondence.
- Manage calendars and meetings; secure rooms/equipment; prepare agendas/materials; arrange travel; coordinate conferences/seminars and registrations.
- Maintain files, records, and databases; enter data; generate periodic reports/labels; manage office reference library.
- Monitor office equipment and supplies; reorder and coordinate repairs; reconcile orders/invoices; resolve billing issues; liaise with support services.
- Prepare, route, and track administrative forms; obtain approvals; resolve delays/errors with other departments.
- Lead office support staff: assign/prioritize work, monitor performance, provide feedback, interpret policies, train/orient new staff, and assist with hiring and training as appropriate.
Minimum Qualifications
Education:
- High school diploma or GED required.
Experience:
- One (1) year of related work experience required.
