Position summary
Supervises administrative staff and ensures quality patient experiences through the effective management and coordination of physical and human resources. Monitors all registration/scheduling/processing activities and patient satisfaction from an operational standpoint

Key responsibilities

  • Supervises administrative staff. Interviews, hires, orients, trains, develops, and disciplines as needed. Organizes workflows, conducts performance appraisals, and recommends merit increases per Hospital policy. Holds regular staff meetings and serves as point person in manager’s absence.

  • Ensures staff are trained in Hospital policies, procedures, and information systems. Maintains compliance with government regulations (DPH, JCAHO, OSHA, etc.) and third-party billing requirements. Provides ongoing and cross-training as needed.

  • Oversees daily administrative operations. Prepares and monitors payroll and related records. Completes required reports to meet hospital, regulatory, and funding agency standards. Coordinates departmental fellowship, residency, and training programs.

  • Promotes patient satisfaction through effective customer service. Monitors operations for service quality and recommends improvements.

  • Participates in budget planning by analyzing trends and preparing cost projections. Develops proposals to improve cost-effectiveness. Monitors budgets and payroll, resolves variances, and maintains documentation.

  • Manages office supply purchases per department protocols. Monitors inventory and budgets, identifying trends to support cost containment and efficient use of resources.

  • Maximizes revenue by ensuring accurate and timely registration and billing documentation. Identifies process improvements in registration, scheduling, and billing to enhance patient experience.

  • Completes special projects and provides detailed analyses and reports as requested by management. Generates custom analytical reports from billing systems as needed.

  • Maintains integrity of in-house computer systems. Recommends and implements system changes in collaboration with software programmers.

Minimum qualifications
Education:

  • A high school level of education required. Two to four years of occupationally specific education or Associate’s degree preferred.

Experience:

  • Two years of experience required
  • Analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
  • Communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Demonstrated knowledge of hospital systems, operations and managed care.
